Know what is inside every governed document.

Casewelt reads each governed file once and keeps a short document card next to it. Scans are read with OCR when you ask. Search finds documents by what they contain, and never shows a file you could not open.

The document card

A short, useful summary of every file.

The card is written when a file arrives and refreshed with each new version. It is a set of suggestions: people decide what becomes a tag or a classification.

Document type

Invoice, contract, CV, payslip, bank statement, board minutes or policy, recognised from the wording.

Suggested tags

Key phrases that recur through the document. Add one to the file with a single click.

Outline

Numbered and titled headings, so you can see the shape of a long document before opening it.

Names and references

Organisations, dates, amounts and reference numbers the document mentions.

Personal data found

Email addresses, phone numbers, IBANs, card numbers and national identity numbers, counted by type.

Classification hint

When sensitive data is found, the card can suggest a minimum classification. Nothing changes until someone applies it.

In-house OCR

Scans become searchable when you decide.

Text that is already in a document is read automatically. OCR is different: it is a choice made per file, and it counts against a monthly page allowance.

  1. Choose the file

    Someone who can edit the file asks for OCR on a scanned PDF. Nothing is sent to OCR unless a person asks.

  2. Read on Casewelt servers

    OCR runs on Casewelt’s own OCR hosts, in the same encrypted pipeline as every other file.

  3. The card updates

    The recognised text feeds the document card, so tags, headings and search work for the scan as well.

  4. Keep a searchable PDF

    Optionally save a PDF with a text layer as a new version. The original stays in the version history.

OCR allowanceBusiness includes 500 pages a month and Enterprise 2,500. Your organisation can ask for more.

Security

Search that respects the same rules as the files.

Document insights run inside Casewelt’s security model: tenant isolation, per-version encryption, default-deny authorisation and an append-only audit record.

Full text stays sealed

Extracted text is encrypted and stored like a file version. The search index receives the card, never the document.

Every result checked again

Before a result is shown, Casewelt confirms the file still exists, the version is current and you may open it.

Private areas stay private

Private workspaces are never read, and another person’s Desktop or Crypt folder never appears in your results.

Values are not copied

Personal data is recorded as a type and a count. The address or number itself stays in the document.

One organisation per query

The server fixes the organisation on every search. A request cannot widen it to anyone else’s cards.

Recorded in the audit trail

OCR requests, searches and new searchable versions are recorded. The words people search for are not stored.

Which plans include document insights?

Business and Enterprise. We are switching organisations on in stages, so ask us if you want yours included early.

Is document text sent to an outside AI or OCR service?

No. Text extraction, OCR and document cards are produced on Casewelt’s own servers. No outside AI or OCR provider receives your documents.

Does the search index hold the full text?

No. The index holds the document card: type, tags, headings, names and references. The full text is encrypted and stored with the file, never in the index.

Which files are analysed?

Current versions in governed workspaces: PDFs, Office documents and plain text. A scanned PDF is read with OCR only when someone asks. Private workspaces are not read.

How many OCR pages are included?

Business includes 500 OCR pages a month and Enterprise 2,500. Your organisation can ask for a higher allowance.
